KC SWIMMERS TERMS AND CONDITIONS
Booking and Re-booking
New clients booking –should ensure that they sign their child up to the appropriate class for their child’s ability – Please refer to the Swim England Learn to Swim Standards. https://www.swimming.org/learntoswim/swim-england-learn-to-swim-awards-1-7.
If the client signs their child up to an inappropriate class, KC Swimmers have the right to re-assign the child to the correct class (this may be at a different time) and if a class of that level isn’t available there will be no refund given.
Existing clients will be asked during the term (typically towards the end) if they wish to continue with lessons for the next term. Their place may be held for 2 weeks for them to renew before the space in the client’s existing class/new class may be offered on a “first come first served” basis to others, both new and existing swimmers. The client is responsible for signing their child up for the correct stage class for the next term. (This may be the same stage or higher depending on if the child has passed their current stage (please refer to the end of term report)

IMPORTANT - Please ask for clarification of your child’s stage/level if you are unsure.
Refunds & lesson credits
Once payment has been made for courses, no refunds will be given under any circumstances.
No refunds will be offered in the case of circumstances outside the control of KC Swimmers, such as Government lockdowns, anything related to Covid-19, or adverse weather conditions.
In the event a client is unable to attend lessons due to sickness or holiday, KC Swimmers is unable to refund lesson fees as fees secure the length of term agreed at the time of booking.
Lesson Changes
In the event of an instructor being absent for a group or private lesson, the swim school is within its rights to change the instructor to make sure that the lesson is covered, no refunds will be given for lessons because of a change of instructor. In the unlikely event of a “last-minute” lesson time change, we endeavour to notify the client via email as soon as possible.
KC Swimmers will not reimburse any expenses caused by a customer failing to pick up their message. KC Swimmers will always try to reschedule any lesson that has not been able to occur, and the client will always be notified of any changes as soon as possible.
Pool Closures
In the unlikely event of the pool not being available for use due to technical difficulties or health and safety issues KC Swimmers will go through the following steps:
1. Our initial response will be to endeavour, where possible, to reschedule the lessons at the same venue for the nearest available space. This may need to be at a different time and/or a different day due to pool availability.
2. When a pool is unavailable on a term basis (in excess of one week), on public health or other grounds (including pandemics) or acts of God, outside of the KC Swimmers control (not including operational issues with the pool), the KC Swimmers is not responsible for providing any further lessons during that time. In the unlikely event of this being the case and it is not possible to reschedule the classes at the end of the term, KC Swimmers will use their best endeavours to either provide the remaining lessons in a future cycle or provide an alternative venue. Refunds cannot be offered under these conditions.
Clients will be notified of changes by email. KC Swimmers cannot be held responsible for any additional travel expenses incurred.
Lesson Prices
KC Swimmers Swim School terms are approximately 10 weeks in duration. When a class is booked, full payment is requested to secure the place for that term. Classes may be joined at ANY point in the term (and clients pay for the classes remaining). Once payment is received there are no refunds given irrespective of the reason. No discounts are offered for siblings or for groups as the prices are highly competitive.
Clients’ Standards
Outdoor footwear should be removed before entering the changing rooms and swimming pool area and food is not permitted on poolside.
Clients should not run on the poolside, they should remove loose-fitting or sharp jewellery, tie back long hair or wear a swimming hat. Photography is not permitted at any time. Clients must follow pool procedures as advised to them at the time of confirmation. Clients should aim to arrive no more than 10 minutes before the lesson and leave no more than 10 minutes after the lesson to help improve changing room comfort.
Swimmers should not enter the pool until the teacher says it is safe to do so and must tell the teacher if leaving the pool before the end of the session. Clients will be asked to sign a consent form for their child to appear in any photographs or video taken by our authorised photographers and shared on social media or for marketing.
Welfare
Clients must accept that at times there will be physical contact between the teacher and their child, in a professional, caring manner.
Abuse to any member of staff either verbal or physical will not be tolerated and will be reported to the appropriate authorities at the sole discretion KC Swimmers. Clients must adhere to the instructions given to them regarding car parking, entry and exit route to pools. KC Swimmers cannot be held responsible for any consequential loss or damage to a client’s vehicle or property whilst in the pool’s grounds. Smoking is strictly forbidden within any pool building or school grounds.
Changing rooms
Please be aware that the changing rooms are group changing rooms and consist of a female group changing room and a male group changing room. Children aged 8 & over should be in the appropriate changing room for their gender.
Parents should not be in the changing room while their children are changing unless the child is of an age where help is required from parents (under 8), or the child requires additional specific assistance. If parental assistance is needed the children should use the changing room appropriate to the gender of the adult or the individual changing cubicle which is opposite the male and female group changing rooms
Personal Information
KC Swimmers store personal information including names, addresses, dates of birth and contact details which is covered by the General Data Protection Regulation (GDPR).
Lost Property
All property left in changing rooms or on poolside, and all property (including prams) left in entrance halls or outside, is left entirely at the client’s own risk. KC Swimmers cannot accept any responsibility for the loss of or damage to any personal possessions. Left items that are recovered will be held by Kirsty or Catrin for the remainder of the term
Medical Conditions
Clients must declare to KC Swimmers of any existing medical or health conditions that they are aware of that the child taking lessons. The client must agree to inform the KC Swimmers of any changes in any medical condition or psychological condition as soon as they are aware of them. All information will be kept strictly confidential, and it is at KC Swimmers discretion to accept or refuse any applicant to join in classes.
Illness
Should the child taking lessons develop, any known or suspected medical condition they must consult their doctor before taking them swimming and inform the KC Swimmers. All information received is treated in confidence and with sensitivity. Clients must never bring the child swimming if they have any illness such as an ear infection, diarrhoea, chicken pox, impetigo, conjunctivitis or merely a bad cold. They must wait until the doctor has given the all-clear before returning to classes. In the instance of sickness and diarrhoea the child must have been clear of all symptoms for at least 48 hours before attending a lesson.
